Privacy Notice

Last updated: September 23, 2026

1. Who we are

ServiceLedger is operated by Maricel Johnson, who acts as the data controller for the personal data described in this notice. That means we decide how and why your data is processed when you use ServiceLedger.

2. What we collect

  • Account data — name, email address, login credentials.
  • Bookkeeping data you enter — clients, jobs, quotes, invoices, income, expenses, receipts (including photos), mileage, and notes.
  • Support and chat messages — messages you send us or the in-app assistant.
  • Usage and device data — IP address, device and browser identifiers, and basic telemetry about how you use the app.

Payment card details are collected and processed by Paddle (our Merchant of Record), not by us — we never see or store your full card number.

3. Why we use it (purposes and legal basis)

  • Providing the Service — creating your account, storing your records, producing reports. Legal basis: performance of our contract with you.
  • Security and fraud prevention — protecting accounts and the Service. Legal basis: legitimate interests.
  • Product improvement — understanding usage to improve features. Legal basis: legitimate interests.
  • Customer support — responding to your requests. Legal basis: contract performance and legitimate interests.
  • Legal obligations — records we must keep for tax or regulatory reasons. Legal basis: legal obligation.
  • Marketing — occasional product emails, only with your consent where required; you can opt out anytime.

4. Who we share it with

  • Service providers — hosting, database, analytics, and support tooling providers that process data on our behalf under contract.
  • Paddle (Merchant of Record) — for the sale of subscriptions, payment processing, tax compliance, subscription management, and invoicing. See Paddle's privacy policy.
  • Professional advisers — legal and accounting advisers where needed.
  • Authorities — where required by law.

We do not sell your personal data.

5. Retention

We keep your data while your account is active. When you delete your account or data is no longer needed, we delete or anonymize it within a reasonable period, except where the law requires us to keep it longer.

6. Your rights

Depending on where you live, you may have the right to access, correct, delete, restrict, or export your personal data, to object to processing, and to withdraw consent. To exercise any of these rights, contact us through the Help section in the app — we respond within one month. You also have the right to complain to your local data protection authority.

7. Security

We use appropriate technical and organizational measures — including encryption in transit, access controls, and row-level data isolation — to protect your data. No system is perfectly secure, but we work to keep your records safe.

8. Cookies

We use essential cookies and storage to keep you signed in and remember your preferences. We do not use advertising cookies. You can clear cookies in your browser settings, but sign-in will stop working without the essential ones.

9. Changes and contact

We may update this notice from time to time; the date at the top shows the latest version. Questions? Reach us through the Help section in the app. See also our Terms & Conditions and Refund Policy.
